Xero Timesheet Doesn't Look Right? Check These Things Before You Resend Anything
A practical checklist for support work business owners when a Xero timesheet looks wrong, missing hours, or won't save. Fictional example included.

The short answer
If a Xero timesheet looks wrong, don't resend it straight away. Find any existing draft first, check both pay periods it might span, and confirm expenses and allowances landed where they should. Leave the pay run unapproved until the hours and pay items match.
You open Xero to check a timesheet before pay day and something is off. Hours are missing, a classification looks wrong, or there's a message saying the timesheet already exists. The instinct is to hit send again. Don't. Resending before you know what's already there is how duplicate drafts and mismatched pay runs happen.
This is a practical first-response checklist for anyone running their own small support work business and sending timesheets through to Xero. It won't replace your payroll adviser for tax, super or award questions, but it will help you work out whether the problem is a setup issue, a timing issue, or something that genuinely needs a human to look at it.
1. Find the existing draft before you touch anything else
If you see a message like the timesheet already exists, there is almost certainly a draft sitting in Xero already. Open it and compare the dates and hours against what you expected to send. Correct the existing draft in Xero rather than creating a second one. If you're not sure how to safely replace an unprocessed draft, ask whoever administers your Xero payroll before you do anything to it. Never delete a processed pay run just to try the export again.
2. Check both pay periods if a week looks short
A Monday-to-Sunday roster week doesn't always line up neatly with a Xero pay period. If a worker's hours look light, check the draft either side of the one you're looking at. An earlier export won't automatically pick up hours added later, so a shift approved after the first send can sit waiting in a separate draft rather than topping up the one you already sent.
3. Check expenses are reimbursements, not earnings
Approved expenses, like a reimbursed purchase made during a shift, don't travel with timesheets. They need to be added to the worker's draft payslip in Xero as a reimbursement before you approve the pay run. If you've attempted an export before, check whether that reimbursement is already sitting there so you don't double it up. An earnings item simply named Expense is not the same thing as a reimbursement line, so it's worth opening the payslip and looking properly rather than trusting the label.
4. Check the actual Xero item, not just the saved classification
If an earnings line says something generic like Ordinary Rate, or a classification name doesn't match what you expected, that's usually a mapping question rather than a sign the hours are wrong. A saved classification only tells Xero which pay item to use; it doesn't rename or configure that pay item inside Xero itself. Open the review screen, choose the correct item next to the hours, save it as that worker's default for next time, and check the dollar rate attached to it in Xero while you're there.
5. If nothing explains it, stop and ask before approving
Some mismatches come down to things outside the timesheet entirely, like an employee record missing a calendar or ordinary earnings item, or a payroll connection that's lost permission. If you've checked the obvious causes and the numbers still don't add up, leave the pay run unapproved. Note the worker's name, the pay period and the exact message you're seeing, then ask your payroll adviser or your software's support team. A guess here costs more time to unwind than a short wait for an answer.
A fictional, anonymous example: imagine a two-person support business in regional Victoria where the owner notices one worker's Thursday shift missing from the week's Xero draft. Rather than resending the whole week, the owner checks the following week's draft first and finds the shift sitting there instead, because it was approved a day after the first export. No duplicate, no missing pay, just two drafts that needed comparing side by side.
A note on where Sparks Provider fits
Sparks Provider is software made for smaller Australian NDIS providers who employ their own support workers. Approved hours and allowances can be sent to Xero as draft timesheets for checking, and unsent invoices can be pushed to Xero as drafts too. It doesn't calculate wages, interpret awards or decide pay rates, and it won't fix a Xero connection or payroll employee setup for you. Those checks happen inside Xero, with your payroll adviser's input where tax, super or award questions come up.

Common questions
Should I keep resending a timesheet if Xero says it timed out?
No. A timeout can happen after Xero has already accepted the request. Check for an existing draft for that worker and period first so you don't create a duplicate.
Why does a travel or allowance item show up oddly in Xero?
Travel and allowance items need their own saved Xero item, and names can differ between businesses. Xero may display per-unit quantities as Hours on screen, but that display doesn't turn kilometres into worked time.
What should I do if an employee isn't found during export?
Check that the name matches one unique active Xero payroll employee, and that their Employment settings include a calendar and ordinary earnings item. If payroll access seems blocked, ask your Xero administrator to check permissions and reconnect if needed.
Can I just fix the pay item names in Xero to match my classifications?
You can rename or choose the correct item in Xero's review screen, but changing tax, super or STP treatment just to make an export work isn't something to do without checking with your payroll adviser first.
