Five things to check before you put real records into a new support work app.

Take a normal day into the trial
Try a fictional shift from planning through to notes and the admin that follows it. Use the phone or computer you normally work on. Do not add real client information until you have checked the supplier's terms, privacy information and your organisation's requirements.
Check the moments that usually cause work
- Can you find and correct a saved record?
- Is it clear when something has not saved?
- What happens if a shift changes?
- Can you retrieve your records if you leave?
- Which parts cost extra?
Ask about access, not just features
Find out who can see the records and how access is changed when staff join or leave. Ask for clear information about hosting, support access, backups and incident handling. Do not assume a low price or a high price proves how well a product is secured.
Compare the full bill
Include the number of people you expect to use the system, any message packs, onboarding fees and optional add-ons. Check whether the price includes GST and whether it is monthly or annual. Keep software fees separate from estimates of your own time.
Make the decision after the trial
Write down what worked, what did not and any unanswered questions. Get important answers in writing. The right tool should fit your workflow and obligations, not just look good in a demonstration.
