Make room for the work. Get the admin in order.

A simple weekly routine for keeping shifts, notes and business admin from piling up.

Start with one view of the week

Check your agreed shifts, travel time and any arrangements you need to confirm. Keep the roster in one agreed place and check how changes are communicated. A calendar reminder is useful, but it is not a substitute for confirming a change with the right person.

Give each record a home

Keep the end of a shift small

Set aside time for the required record while the details are fresh. Confirm that it saved. Follow the agreed process for outstanding actions or incidents, rather than leaving an important message inside a note and assuming someone will find it.

Use a short weekly check

Check missing records, unconfirmed shifts and outstanding invoices in one sitting. Keep a short list of actions with a person and a next step. This is a workflow suggestion, not a rule about billing, payroll or record retention.

Choose tools around the routine

Test a tool with fictional information before you rely on it. Make sure it helps with your actual work, including finding records again, correcting mistakes and getting your information out if you move. A smaller set of connected tools may suit you better than several overlapping subscriptions.
