A Practical Look At Your Staff List: What It's Quietly Telling You Each Week

A practical look at managing your support worker records, from first invite to archiving, and what your staff list reveals if you know where to look.

The short answer

Your staff list is more than contact details. Checked properly, it shows who is missing a document, whose phone notifications are off, and who needs a status update before anyone gets invited or archived.

Most small provider owners open their staff list to roster a shift and close it again without looking at anything else. That is a missed habit. The staff list holds a handful of practical signals that only take a minute to check, and catching them early saves a scramble later.

1. Start with a record, not an invitation

If you are onboarding someone who has not started yet, or you simply want their details on file before contacting them, add a staff record without sending anything. Saving a staff record never sends an email on its own. You can invite them properly from their record once they are ready to log in.

2. Invite only when they need to log in themselves

Inviting by email always sends a support worker invitation, so it suits someone who needs to see their own shifts, add availability or upload documents. Owners and admins are invited from a separate screen, so do not use the staff invite for anyone managing the business rather than working shifts.

3. Resend before you re-invite

An invitation email can get lost in a spam folder or a full inbox. If someone says it never arrived, open their name on the staff list and use the email again option rather than sending a second invitation, which just creates confusion about which link is current.

4. Check who has notifications turned off

A tag beside a name shows when a support worker's phone would not currently receive notifications. It is not a guess about whether they are engaged with the job, it is a practical flag that a message about a shift change might not land. Where the system cannot tell either way, no tag shows, so treat the tag as a useful hint rather than a complete picture.

5. Let the documents tab do the chasing

A blank column under a staff member's documents is the finding itself. Anyone missing something, expired, or running low also appears under a Needs You section on the staff list, so you are not manually cross checking a spreadsheet against expiry dates. Consider this a fictional, anonymous example: a small provider running six support workers checks this tab every Monday morning before finalising the week's roster, rather than discovering a gap mid shift.

6. Record dates properly, even retrospectively

A joined staff member's start and last day can be recorded from their profile, and corrected later if needed, including on an archived profile. This keeps the employment timeline accurate without needing to touch anything else about their access.

7. Archive when someone leaves, don't try to delete them

Archiving removes access immediately, but their name stays attached to every shift they worked and every note they wrote. That history staying intact is the point, not an oversight. A joined staff member's personal sign in cannot be deleted by the business for this reason. Only an unused, uninvited record with no roster history can be deleted outright.

8. Restore if they come back

If someone returns to the business later, their archived profile can be restored rather than rebuilt from scratch, keeping their earlier shift history attached.

Common questions

Does adding a staff record notify them straight away?

No. Saving a staff record on its own never sends an email. The invitation email only goes out when you choose to invite them.

What happens if I invite someone twice by mistake?

Rather than sending a second invitation, open their name on the staff list and use the email again option so there is only ever one current invitation link in play.

If I archive a worker, do I lose their shift history?

No. Archiving removes their access immediately, but their name stays on every shift they worked and every note they wrote.

Can I bring back someone I archived by accident or who returns later?

Yes. Open Staff, go to Archived, open their profile and choose Restore staff.

We are switching from ShiftCare. Will our existing staff come across?

A built in ShiftCare import can bring across participants, staff invitations and shift history. You can see how that compares at https://sparksprovider.app/compare/shiftcare.
